Taking Greater Control of Vehicle Operations Across Waylands

Emma Reed, Aftersales Manager at Volvo Oxford

For Waylands, managing vehicle preparation across multiple dealerships meant finding a better way to understand what was happening across the business, identify bottlenecks and act before delays affected performance.

With Carcare, Waylands has transformed how it manages vehicle preparation, creating greater visibility across its operations and helping teams understand where cars are in the process, identify bottlenecks and see where additional support is needed.

The impact is measurable: average preparation time has reduced by 22%, stock turn has increased by 1.5 and average preparation cost per vehicle has also reduced.

From Reactive to Proactive

Carcare gives Waylands greater visibility of incoming stock, helping teams plan workload and resources before vehicles arrive.

If we can see in a week's time we've got a load of vehicles coming into one location, or a load of part exchanges, we can pre-empt the workshops, we can pre-empt our external suppliers to come in and get these vehicles done

At dealership level, this helps workshops plan more effectively around changes in workload.

It helps myself and the workshop manager plan the workload better, so we can see when we have an influx of cars coming in, we need to allocate more time to preparation. It just really helps to arrange the workshop in a more efficient manner.

Faster Preparation. Stronger Performance.

The improvements are reflected in Waylands’ operational and financial performance, with faster preparation, increased stock turn and lower preparation costs.

  • 22% reduction in average preparation time.

  • Stock turn increased by 1.5.

  • Reduced average preparation cost per vehicle.

We did see a stock turn increase of one and a half. But additionally, our prep time was also reduced by 22%, which has paid dividends to our profitability. But then also our average prep cost across the cars has also reduced as a result of that.

Greater Visibility Across the Group

With everyone working from the same information, Waylands can use Carcare to see where vehicles are in the process, as well as where they are physically, spot where progress is slowing and make quicker decisions to keep vehicles moving through preparation.

Simon highlights how this visibility saves time across the dealership:

A simple thing is physically, where is that car? If you're dealing with 100, 150 cars, just knowing where that car is, where it is physically, is important. Some of those key numbers can save you 10, 20 minutes trying to find a car.

That visibility also extends across departments, giving sales teams a clearer view of vehicle progress and helping them keep customers informed.

The sales execs have full access to that, so they don't need to ask that question and they don't need to stop their sales process. It's just at their fingertips.

Greater Accountability

Carcare has become part of the daily routine across Waylands, from head office through to individual dealerships, helping teams take greater ownership of their stock and performance.

It also creates that accountability. Now that they own their stock, how quickly they get their cars prepared is down to them and down to their processes. We've given them the tools and resources to do that.

Simon also highlights the wider impact of improving preparation times:

That four-day improvement over a year is huge for us. It has a massive impact on our bottom line, because we're able to sell more cars and sell them more profitably.

A More Consistent Way to Manage Vehicle Operations

Waylands has improved its speed of preparation and processes across the group, creating greater consistency, improving profitability and providing a clearer focus on future performance.

Over the last two and a half years Carcare has ultimately improved our speed of preparation, has improved our processes across the group. It's created the consistency now, and it's set us a goal of where we want to be in the next 12 months.
